(most admins or gmods can not do this but we dont need to remove past, or rarely active members anymore. i left this here just as a referance and notalgic thing to read)
Every half year we clean up our memberslist from players that didn't resign, yet are no longer interested in staying in Even2All.
Even2All was started at November 21st 2008
So in November and May we clean.
somewhere start of the month we start the procedure that will take 2 to 3 weeks, for all our members should have the time to respond.
General procedure is
-*-post and mail and start a post in the management section to administrate the responding members (step 1-2-3)
-*-after a week send another mail to all that haven't responded yet (step 4)
-*-after another week mail those we haven't had a response from their accounts will be de-activated in 2 days (step 5)
-*- 2 days later those that don't want to stay in will be removed, those that didn't reply deactivated (step 6-7)
-*- 1 month later, accounts that are still deactivated will be removed (step 8)
All stands and falls by active administration of those members that did reply!
STEP 1: Please Reply!
make a post in our community chat copy-paste the following and modify it to serve the needs of the moment (or make a new creation: all I put here is mere to inspire)
All members are asked to tell if they are happy in group or feel it is time to move on. We do this every half year to keep our memberslist a list of members that really want to be part of this group.
You can PM here or in game one of the management team (Marcohdz74/Murcy1974® =Þ, Rama Slayer/Rama, Emperor AOK/Emepror AOK2 or Funtail/Flora) or post to this thread an open

Love you all and we'll find you in game
This thread will be open till May 20th, members that do not respond within that timeframe to their email, are not in game or post here, will be removed as a member.

STEP 2: Create a place to administrate
create a post in the management forum, members management section, where you note the procedure: when is what going to happen.
we add a table with all members leaving out Admin, whom isn't a real member just the master acc of this site, and all 'builder' accounts, for those are extra accounts.

STEP 3: Email all what we are up to!
We email all members something like the following text:
Dear friend,
Soon Even2All will be one and a half year old and we are doing well! We never started out to force anything on our members. Everyone can enjoy this initiative in his or her personal way:
Some love to do the events
Some love to hang out in clan-chat
Some love to visit the forums
Some quit Runescape but stay connected to our group
What ever is your reason to be in Even2all, every reason is personal and respectable.
Some might have joined….
With expectations they didn’t see realized.
With interests that have shifted.
For friends that have drifted.
Our group is open to everyone, yet it is not everyone’s group.
We feel the urge to clean our members list, just to make clear that all on that list are, in their own way, committed. There is no shame in leaving, if that is what you want, and all know they will remain friends.
Now, if you want to stay or leave in Even2All, then
* tell Rama Slayer, Emperor AOK, Marcohdz1 or Funtail in game, clan-chat or on forums even2all.proboards.com/index.cgi?action=display&board=communitychat&thread=603
* reply to this mail telling us your wishes
If you do nothing we will assume you’re not interested in staying in group.
On the 21st of May we will disable those of our members list that have asked us to do so and those that we didn’t hear from at all. Since it might occur that we may lock members that actually want to stay we want to make clear, we will only disable them, not delete them!
Since we parted with a smile; we can always rejoin with a smile and re-activate those accounts!
One month later however we will remove our disabled accounts for our members list should represent us. Rejoining stays as easy.
We hope to hear from all!

STEP 4: Email a reminder
One week after starting your post create an email list of all those that haven't responded and send them yet another Email with a content like this:
hello my friends,
a while ago I send you this mail, for content.. read below,
but.. you didn't reply... I need to know if you like to stay in E2A or not.
if you do not reply, I have to remove you from the members list..
I do look for you all in game too, just to ask you...
Think it over and let me know

STEP 5: Last call!!!!
Yet another week later we send a last request hoping our last non-obsevant members will reply
hello my friends,
I have send you this mail, that you find below this message, twice before.
If you do not respond in any way I'll be forced to remove you, with pain in my heart
I'll de-activate your accounts at Even2all at the 11th of November.
At the Even2all site, I'll make a post where I'll ask all members to look for you and ask if you want to stay in or not. I know I have been looking and didn't find you yet.
But at foolsday (11-11) I have no other choice to do the first step in removing you from our group.
I hope I'll find you first!

STEP 6:Modifying members list
by now, 2 weeks later, the word has spread and most members will have replied one way or the other. So 2 days after that last email it is time to de-activate the members that failed to respond and remove those that didn't want to stay
be careful while removing: once done, it can not be un-done
de-activating is done by modifying the membergroup a member is in
open members profile
choose Modify Profile
the profile is devided in sections
-Account Information
-Personal Information
-Instant Messengers
-Account Preferences
-Dates and Times
-Admin Functions
this last one is the one we're looking for
open the menu at Membergroup
choose deactivated
In the meberlist the colour of that members name will turn black
He has ciezed to have any rights on the forums
STEP 7: Closing post in Community Chat
Post in Community Chat the members that have left and a list of those whom are deactivated. Explane what that means and how we hope to reach these members within the comming month.
STEP 8: Removing the lost
One month later the names that are still black will be taken from our members list: operation complete!
